ADMINISTRATIVE SUPPORT

GENERAL SUPPORT FOR PP SUPERVISOR

Day to day administrative support to producers / post supervisor where requested.
HANDOVER FROM PRODUCTION
Coordinating handover from production to ensure all documents / files are complete and logged.
Sourcing missing items from handover i.e missing EOD reports / contracts
COMMUNICATE COVID PROTOCOLS / PROCEDURES TO CREW

Researching latest COVID advice and issuing guidance based to vendors / crew
Purchasing PPE if necessary
Checking COVID protocols of facilities used
COMMUNICATION BETWEEN DEPARTMENTS

Ensuring all departments know scheduled dates
Communicating schedule changes / delays between departments
Ensuring all departments are working to correct versions / cuts
MANAGE DIARIES / CALENDARS

Scheduling meetings
Update calendar
Communicate changes to all departments
MEETINGS

Scheduling meetings
Creating agenda / running the meeting
Note taking
Distributing notes and following up on meeting outcomes
GETTING CONTRACTS SIGNED

Contracting crew coming on board during post
Coordinating signing of vendor contracts i.e. Title designers / VFX Houses
Sourcing missing contracts from Production
ATTEND SPOTTING SESSIONS

For VFX
For Sound
Taking notes
Distributing notes and creating tracking lists based on meetings
ACCOUNTING

TRACKING COSTS

Monitoring costs for items such as:

VFX Pulls
ADR
Couriers
Overtime
Grade Days
PURCHASE ORDERS

Generating purchase orders
Logging purchase orders
Following up on open POs
ADR DUTIES

ADR

Schedule ADR based on spotting sessions
Liaise with agents / Director to generate ADR schedule
Distribute Cue Sheets and Session information
Arrange transport for sessions
Track costs
Follow up on invoices
CHILD LICENCES

Applying for child licenses if applicable – Liaising with parents / agent / local council to apply for license and amending schedule based on availability
DELIVERABLES

DELIVERY REQUIREMENTS

Distributing delivery requirements and specifications to all departments for deliverables
Communicating updates of delivery specs to departments.
Tracking deliverables as they come in
Troubleshooting queries re deliverables between departments / studio
Communicating to all departments key delivery dates
DELIVERY PAPERWORK

Including but not limited to:

Paid Ads – Location contractual obligations from contracts and summarising
Billing Block
Credits
Putting drafts together and amending based on notes
Liaising with all departments ensure credits are correct
Liaison with title designers to ensure latest versions are used
Sourcing logos
Stock Footage Log
Post Unit List
Post Vendor List
Coordinating residuals

Tracking all deliverables
Collating files to be delivered ready to hand over at end of project

CARS AND COURIERS

Arranging cars for crew / talent
Booking couriers
Tracking deliveries to ensure no lost parcels
Tracking costs
BOOKING ROOMS / STUDIO SPACE

Booking studio space for editorial / ADR / offices etc
BOOKING TRAVEL AND ACCOMMODATION

Booking international travel for crew, as well as internal cars / trains
Issuing Movement Orders
Tracking Costs
Researching and booking hotel rooms if applicable
Coordinating visas for international crew
SOURCING STOCK FOOTAGE / AUDIO / IMAGES

Sourcing options for editorial team
Purchasing and tracking costs of all stock footage bought
Obtaining correct license and clearance for use
